PROJECT LOCATION: MACHAR COLONY, KARACHI
General Objectives
Manage
the pharmacy store in the project location, organise the medical stock
and stock movements and follow up medicine consumptions, collaborating
with service supervisors and (assistant) MFP.
Specific Duties:
Stock Management: stock organization
- Organises the zones and storage conditions according to MSF standards and mission pharmacy guidelines
- Checks
with the pharmacy supervisor that specificities of certain items in
stock (special storage, cold chain, controlled drugs) have been taken
into account and that they are stored accordingly
- Ensures that
the stock is properly equipped (stock cards, cardboard boxes, rolls of
packing tape, etc.) and that required pharmacy store management tools
are in place.
- Monitors stock and cold chain temperatures twice a
day and report storage or cold chain problems timely according to the
mission pharmacy guidelines
- Ensures the management of emergency and first aid kits, and staff health cupboards
Stock Management: organise stock movements and stock management tools
- Receives
items, checks if quantities, dosages and product characteristics are
according to the reception documentation, quantities and items’
condition. Notes his/her remarks, dates and signs and reports any
discrepancy (documents, quality and quantity)
- If the received items are destined for the stock, updates the stock cards.
- Ensures appropriate filing for stock cards and registrations for the transit zone and reception
- Receives
written medical orders from the services and prepares the outgoing
items according to the order and the preparation techniques defined:
FEFO & FIFO methods, type of packaging and instructions
- Updates stock cards, registers for specific medicines, and other pharmacy management tools
- Passes the goods over to the services supervisors when they are Ready to Deliver
- Takes
pro-active measures to alert the (assistant-)MFP as soon as an item
reaches the minimum or maximum threshold, or is about to expire
Organises regular physical inventories
- Close follow up of expiry dates and reporting of close expiries
- Places expired/damaged items in appropriate zone
- Investigates and reports any discrepancy (quantity and quality) between theoretical and physical stock levels
- Records
and passes on stock reports (stock levels and movements) to the
(assistant) MFP in accordance with the mission’s deadlines
Follow-up of drug and medical supply consumptions within the different services
- Sees to correct reporting of consumptions and physical inventories from the different services or cupboards.
- Sets quota for drug consumptions of the services, in collaboration with (assistant) MFP and service supervisors.
- Communicates
with service supervisors and (assistant) MFP when consumptions increase
over the set quota, or when consumptions decrease. Ensures hence
rational drug use.
Equipment and Facility Maintenance
- Maintain cleanliness in the pharmacy
- Monitor
condition of pharmacy and all the equipment used in the pharmacy and
report any problems or potential problem to supervisor
- Follow security protocols in relation to the pharmacy
Reporting Requirement
- Stock movement report including receipt, issuance, returns, orders and balances
- Expired or near expiry inventory
- Damage inventory
- Consumption report
Qualifications
- 2 years diploma or Bachelor degree (2 years) in pharmaceutical technology
Experiences:
- 1 year experience in pharmacy storekeeping
Knowledge and Skills
- Good knowledge of Karachi community and culture
- Good communication skills in English and Urdu
- Other Languages are added advantage
- Good knowledge of Machar Colony community and culture is an advantage
- Good working knowledge in MS Office is an advantage
